Asking KAI

Where the assistant lives, what it is allowed to answer from, what it is told about the screen you are on, and the four ways it goes quiet.

Where it is

KAI is inside the product, not an app you go to. A round button floats on every back-office screen, and there is an entry in the top bar. Both open the same panel.

Ask in Hindi or English; it answers in the language you asked in.

What it is allowed to answer from

Your own numbers, and only your own numbers.

The arithmetic is done by the product's engines — the same code that produces your reports — and KAI's job is to put the result into a sentence. It is not allowed to do the sums itself, and an answer that contains a figure the engines did not produce is rejected before you ever see it rather than shown with a caveat.

That is why every amount in an answer is tappable: the row of small chips under a reply links back to the screen the figure came from, so you can check it against the rows that made it.

If it cannot find figures for what you asked, it says so. It does not estimate.

What it knows about where you are

The suggested questions above the box change with the screen you are on, and the answer can be about that screen.

To do that, two things travel with your question: the pathname of the screen — which names a page, never a person — and a short, fixed list of that page's own state, such as the date range, the tab, the month or the status filter you have set.

Everything else in the address is dropped, not shortened. The search box on the customers screen routinely holds somebody's name or phone number, and that is not something a question about last week's sales needs to carry.

Talking instead of typing

The microphone in the composer uses your browser's own speech recognition. It appends what it hears to the box, so you can correct it before sending.

It reads; it does not write

KAI has no way to change your data. When it wants something changed, it fills in a form and hands it to you — a suggestion you approve or reject, which then runs the same action a person would have used. That is a separate article.

The four ways it goes quiet

In all four the panel still opens, still answers, and still shows you the verified figures directly. A short line says which one it is:

  1. Not switched on — the deployment has no assistant key configured.
  2. Not on your plan — the conversational assistant belongs to the Advanced plan and above. During your first six months you have it regardless.
  3. This month's limit is reached — the allowance ran out. There is an article on exactly what that changes.
  4. Too many questions in a minute — a short burst limit. Wait a moment and ask again.

There is no fifth state where it errors and leaves you with nothing.

Things it remembers

If you use the memory feature, the notes it keeps about your business are on their own settings page and every one of them was approved by you. By design a memory never holds a money figure — an amount that sat in a memory would be quoted back in a later answer without having come from the engines, and would be rejected, quietly spoiling every answer after it.

Where its suggestions collect

Proposals wait on the Suggestions screen and in the same panel. They are one list with two doors, not two queues.
